To sell more with WhatsApp Business, follow this order: define what you want to know from your customer, prepare your profile and catalog, attract conversations with ads or your content, reply within the 24 hours, ask 3 qualifying questions, label and follow up, and measure how many conversations end in a sale.
Most businesses use WhatsApp Business like a mailbox: they answer what comes in and wait. That way, sales depend on luck. A business that sells steadily on WhatsApp has a process, and the process starts with something unglamorous: knowing what to ask.
Today anyone can get generic answers in seconds from an artificial intelligence assistant. What almost nobody has is their own customers’ answer to a concrete question. That information is yours, nobody else can find it, and WhatsApp is the channel where it is easiest to get.
Step 1. Decide what you need to know
Before writing a single message, define a business question. A vague question like “what do my customers like?” returns vague answers. A question with a purpose returns decisions:
- “What stopped you from buying the first time?”
- “What did you expect to find that you did not see in the catalog?”
- “Which other business did you compare us with before writing?”
Choose one, use it for two weeks and write down the answers.
Step 2. Prepare your profile and catalog
People arriving from an ad or a recommendation check your profile before writing. They need to see your hours, location, a clear description and a catalog with prices. If your profile is half done, the conversation starts with distrust. The complete WhatsApp Business guide explains the setup and the image sizes prevent cropped photos.
Step 3. Attract conversations
Three sources work well for small businesses:
- Ads that open WhatsApp (Click to WhatsApp). The person writes straight to your chat. When they do it from one of those ads, Meta opens a free window of up to 7 days for the messages you send them through the platform.
- Your content. A button or a
wa.melink in your bio, your website and your posts. - Your store. A QR code on the counter or the packaging.
If you use the platform rather than the app, remember you can only write first to people who gave their consent.
Step 4. Reply within the 24-hour window
The 24-hour window opens when the customer writes to you and restarts with each of their messages. Within it you can reply with free-form text. After that period, you can only send approved templates, and those are charged on the platform. In practice, a customer who does not get a reply the same day usually goes cold.
Keep the greeting and away messages on, and attend first to people who have already asked for a price.
Step 5. Ask three qualifying questions
Do not quote blindly. Before giving a price, ask:
- What do you need? To understand whether what you sell fits.
- By when do you need it? To know whether there is urgency.
- What budget do you have? So you do not offer what they cannot pay for.
Ask them in the same message, naturally. A person who answers all three has purchase intent; one who stops at the first is not ready yet.
Step 6. Label and follow up
WhatsApp Business labels turn your inbox into a funnel. Four are enough:
- Question: they wrote and you do not know yet what they want.
- Quote sent: they have your price.
- Payment pending: they accepted and payment is missing.
- Sold: closed.
Every day, check the quote sent label and write a short message to anyone who has gone more than a day without replying. Without pressure and without repeating the same text.
Step 7. Close, measure and ask again
After the sale, ask your question from step 1. After a week, count how many chats moved from one label to the next. If many stay at quote sent, the problem is the price, the way you present it or how fast you reply. If they stay at question, qualifying is missing. That count tells you what to fix.
What not to do
- Sending broadcasts to people who did not ask for them. It can cost you the number.
- Copying and pasting the same message to everyone. It shows and it does not sell.
- Automating without a process. A chatbot on top of bad customer service just repeats it faster. Before hiring one, read our article on AI chatbots and check the charge for service messages since October 2026.

Frequently asked questions
How many questions should I ask a new customer on WhatsApp?
Three are enough: what they need, by when they need it and what budget they have. More questions tire people out and fewer leave you without the information to quote well.
Can I send bulk messages to my customers?
Only to those who gave you their consent. In the app, broadcast lists only reach contacts who saved your number. Outside the 24-hour window, the platform requires approved templates.
Do ads that open WhatsApp work?
Yes, especially for businesses that close the sale through conversation. Meta also opens a free window of up to 7 days for the messages you send to people who write from one of those ads.
How do I know if WhatsApp Business is generating sales for me?
With labels. Classify each chat as question, quote sent, payment pending or sold, and count every week how many move from one stage to the next.
